Terms of Service
Effective June 2026
These Terms of Service ("Terms") govern access to and use of the MediCRM platform ("Service"), a practice-management application for behavioral-health and therapy organizations. By creating an organization or account, you agree to these Terms on behalf of your practice.
1. Accounts & Organizations
When you register, you create an isolated organization workspace and become its owner-administrator. You are responsible for the accuracy of your registration details, for all activity under your organization, and for managing the access rights of the team members you invite.
2. Protected Health Information (PHI)
The Service is designed to store and process protected health information. You are the covered entity or business associate responsible for the PHI you enter. You agree to use the Service in compliance with applicable law, including HIPAA, and to obtain any client consents required before recording, storing, or disclosing PHI. A Business Associate Agreement (BAA) governs our handling of PHI on your behalf.
3. Acceptable Use
You agree not to misuse the Service, attempt to access another organization's data, upload unlawful content, or use the platform to send unsolicited communications. Each organization's data is logically isolated; you may only access data belonging to your own organization.
4. Subscriptions & Billing
Paid plans are billed on a recurring basis through our payment processor. Fees are stated at the time of purchase. You may cancel at any time; access continues through the end of the current billing period. Billing for your own clients is handled by your practice, not by MediCRM.
5. Confidentiality & Security
We apply administrative, technical, and physical safeguards including encryption in transit, role-based access controls, and audit logging of PHI access. No method of transmission or storage is perfectly secure, and you are responsible for safeguarding your credentials.
6. Termination
You may stop using the Service at any time. We may suspend or terminate access for breach of these Terms or to comply with law. Upon termination we will handle your data in accordance with our Privacy Policy and the BAA.
7. Disclaimers & Limitation of Liability
The Service is provided "as is" and is not a substitute for professional clinical judgment. To the extent permitted by law, MediCRM is not liable for indirect or consequential damages arising from use of the Service.
8. Changes & Contact
We may update these Terms; material changes will be notified in-app or by email. Questions about these Terms can be directed to your practice administrator or to MediCRM support.
